Terms of use

Version 2026-11-04-draft · updated 4 November 2026

Draft: to be checked by a lawyer before it is final.

1. What YSS Rostering is

  • YSS Rostering is software for rostering disability support work: shifts, progress notes, care charts, incidents, timesheets and travel. Your organisation (your employer) pays for it and runs its account.
  • These terms are between you, your organisation and the owner of YSS Rostering.

2. Use it for work only

  • Use YSS Rostering only for your work with your organisation.
  • Keep your password to yourself. Don't let anyone else sign in as you. Tell your admin straight away if you think someone else knows it.
  • Don't try to get into parts of the app or information you aren't given access to.

3. Client information is private

  • Clients' names, addresses, health and support details are private. Look at them only when you need to for your work, and never share them outside your organisation.
  • Don't take screenshots or copy client information into other apps, messages or social media.
  • Follow the NDIS Code of Conduct and your organisation's privacy policy. YSS Rostering's own privacy policy says what the app collects about you and how to see, correct or delete it.

4. Keep honest records

  • Progress notes, care charts, incidents, timesheets and travel logs must be true and written at the time, or as soon as you can. They can be used for client care, pay, NDIS audits and investigations.
  • Report incidents straight away. In an emergency call 000 first, then record it.

5. Your location

  • When you clock in and clock out of a shift, the app saves your location once each time, so your organisation can confirm the shift happened at the right place. It does not track you during the shift or at any other time.
  • If you don't allow location, you can still clock in, but your supervisor will see that no location was shared.
  • Travel you record yourself is saved only when you start a recording, and stops when you stop it.

6. Your documents

  • Upload your current NDIS Worker Screening Check, First Aid and CPR certificates, and keep them up to date. Workers with missing or expired documents can't use the app until they upload new ones.

7. What your organisation agrees to

  • Add only the people and information it needs to run its services, keep it correct, and remove access for staff who leave.
  • Use location and records only to manage shifts, pay, compliance and client safety, and handle personal information as the Australian Privacy Principles require.
  • Check staff documents before rostering them.

8. If the app isn't working

  • We work to keep YSS Rostering running, but it can sometimes be unavailable. Keep your organisation's paper or phone backup for urgent care information, and never rely on the app alone in an emergency.

9. Who owns YSS Rostering

  • YSS Rostering and its code, design and name belong to its owner. Your organisation is given permission to use it; it isn't sold to you. Don't copy, change, resell, or try to take apart the app or its code.
  • The information your organisation enters stays your organisation's.
  • YSS Rostering is run by Yegon Software Services, ABN 63 894 973 709.

10. Ending access and changes

  • Your organisation can remove your access at any time, for example when you leave. Access can also be removed if these terms are broken.
  • If these terms change, you'll be asked to accept the new version when you next sign in.
  • Questions? Ask your organisation's admin first.
